Why a Mail Access Connection is Needed?

Your virtual assistant needs to know how to access your mail account on your behalf to give you interactive speech access to your messages and possibly your calendar and contacts too.
  • Access your emails, voicemail and faxes by phone and manage them using speech commands (reply, forward, delete and send new emails).
  • Access your Calendar to review appointments and schedule new ones using your own voice.
  • Access your contacts by name to call them or send them messages

Note: Some features such as access to calendar and contacts on the mail server are available only to users of Google Gmail and Microsoft Exchange Mail.

How to Setup a New Mail Access Connection

To configure your Mail Access Connection, you will be asked to enter your email username and password. You may also have to provide technical information such as your mail server URLand your mail access protocol if your mail service provider is not known to your assistant. Contact your mail system administrator for help.

Changing your email address will reset your mail access connection parameters.

The following technical information is required to configure access to a new (unknown) mail server:

  • Mail Access Protocol: This is the protocol used to access your mail account remotely. Ex: POP3, IMAP, Google, Exchange OWA or Exchange 2007
  • Mail Server Name: This is the address (URL) used to remotely access the server hosting your email account. Ex: https://webmail.mycompany.com

To complete the mail access setup, your email login credentials are required:

  • User name: This is the same username you use to login to your email account using other mail clients such as Outlook Express. You may have to enter your mail domain name.
  • Password: This is the password you use to access your emails. This confidential information is automatically encrypted and securely saved by the assistant.

Ask your system administrator for your mail server name and protocol and have it added to the list of Known Mail Servers. Otherwise, you will need the mail access information to set it up yourself (New Mail Servers).
 

Mail Access Protocol and Mail Server Name

Known Mail Servers

If your e-mail address belongs to a mail server already known (i.e. its mail access connection was already established and validated), Evatel will offer to use the known mail access protocol and server name (URL). Click Continue to accept and proceed to enter your credentials (user name and password).

If the proposed access parameters do not correspond to your mail server, you must click Modifyto choose different parameters. Select the mail access protocol used by your e-mail account then enter its server name and click Continue.

New Mail Servers

If your e-mail address does not correspond to any known and validated mail server, you will have to manually select the mail access protocol and enter the mail server name to access your e-mail account.  The required information is the same as the one you use to access your mailbox from other mail access client such as Microsoft Outlook Express, Eudora or Microsoft Outlook Web Access.

From the Mail Access Settings section, select New to enter the information to access your mail server: its Mail Access Protocol and Mail Server Name.

  1. Select the Mail Access Protocol used to access your emails from the list of protocols supported (click ? to get help on the selected protocol):
  2. Enter the Mail Server Name as a URL address. This is the internet address of the server hosting your emails. For example, imap.secureserver.net, https://webmail.enterprise.com/exchange and http://206.200.104.1/exchange are valid Mail Server Names.

Once completed, proceed to the next step where you will enter your mail access credentials (user name and password).
 

Mail Access Credentials

You are now required to access your mail account using your username and password. This information is the same as the one you use to access your mailbox from other mail clients such as Outlook Express. Note that this information is treated with the highest care and the strictest confidentiality. Please consult Our Commitment to Protect your Privacy for details regarding the privacy and security of your data.

  • User Name: This is the username you use to login to your mailbox.
  • Password: This is the password you use to login to your mailbox.

Once completed, click Submitto confirm and launch the Mail Access Validation.

Mail Access Validation & Confirmation

When you click Submit, Web Portal launches the Mail Access Validation to try accessing your mail account using the parameters and credentials you entered.  The tests try accessing different folders in your mailbox. The results are displayed including any errors. The newly entered mail access parameters are saved if the validation tests are successful. Otherwise, you will have to modify the parameters and submit the changes for new validation tests.

A successful test displays a message confirming that your Mail Access Connection was setup successfully.

When you see a message indicating that the Mail Access Validation has completed successfully, it means that the conduit to your mailbox has been established. The newly entered mail access parameters are saved.

Troubleshooting Mail Access Connection Issues

Incorrect mail server name

Correction: Make sure you have the correct name and URL for your mail server. Ask your mail service provider or system administrator to provide you with the required information in order to access your mailbox using off-the-shelf products such as a Web browser (OWA) or Outlook Express (IMAP and POP3).

Incorrect user name and/or password

Correction: Make sure you enter the same name and password you use to access your mailbox from other Internet-based mail clients (Outlook Express for example). Ask your mail service provider for the format of your login name. It may be a combination of your name with some mail server information.

I can't get the assistant to read my e-mails

Symptom: When I ask my assistant to read my mail, it says: "You have no mail in your mailbox" or "Your mailbox is not accessible".

Possible causes:

1.The Speech Contacts service is not offered by your service provider: Check with your Evatel service provider about the availability of the service in your area.

2. The Speech Contacts service exists but you have not subscribed to it: Go to Web Portal and click on the Account button in the Web Portal toolbar to subscribe to Speech Contacts.

The assistant does not read some of my e-mails

Symptom: My assistant reads my mail messages but not all my mail messages.

Possible causes and fixes:The e-mails were not in the block downloaded by Evatel. By default, Evatel downloads e-mails in batches of 25 messages. All e-mails beyond this limit will not be downloaded. Your missing e-mails are probably in the next batch. You may check with your System Administrator if you can increase the number of e-mails downloaded in each batch. Only the System Administrator can change this parameter in each user's profile.

The assistant does not send my new voice emails and e-mail replies

Symptom: My contacts did not receive the messages that I send or forwarded to them.

Possible causes and fixes:The SMTP port is probably blocked. Make sure that the SMTP port (25) of your virtual assistant server has not been closed by an Anti-Virus program such as McAfee or by a firewall. Contact your System Administrator to report this problem and have it fixed.

Will my mailbox become less secure?

Answer: No. Your assistant acts exactly as if you were using a computer to access your mailbox over the Internet. It uses your encrypted credentials to login to your mail account. If you notice any degradation in the level of security of your mailbox, please contact Evatel at This email address is being protected from spambots. You need JavaScript enabled to view it.. We will be interested to know about it. (what does that mean, degradation of security?) Evatel implements well-known security and confidentiality mechanisms to protect your privacy. All personal data is encrypted by programs before being saved or communicated over public networks. Evatel uses COMODO together with SSL and 3DES encryption algorithms.

Will the assistant help viruses get into my computer?

Answer: No. The assistant never opens any mail attachments on your mail server. The only actions it performs are: download e-mails, forward, delete or archive e-mails. Once the e-mails are downloaded into the Evatel Server, they are read to you using Text-To-Speech technology. In the case of voice messages, the attached audio files use the standard .WAV format and are opened on the Evatel Server for rendering over the telephone network only. All other attachments are only listed to you over the phone, but never opened.

<h2Will the assistant help intruders to access my mail?

Answer: No. The only way for an intruder to access your mailbox through Evatel is if he or she has your Evatel credentials (User IDand PIN). The security of these credentials is similar to the one you use for your phone banking (with less consequences if lost). You should change you PIN on a regular basis to increase your security.

How does the assistant access my mailbox remotely?

Answer: Evatel acts exactly as if you were using a computer to access your mailbox over the Internet. It uses your encrypted credentials to login to your mail account. It retrieves information from your mailbox and reads it to you over the telephone. It takes your speech or DTMF commands and sends them as online commands to your mail server. Any feedback received from the mail server is spoken to you over the telephone using Text-To-Speech technology.

Does the assistant write data on my mail server?

Answer: It depends on what you request. Evatel reads and processes your mail remotely over the Internet. It downloads and reads your e-mails, contacts and appointments; it replies, forwards, deletes and archives e-mails; it schedules meetings into your calendar, etc. So Evatel acts on your behalf to perform mail tasks, and goes always through your mail access protocol to perform these tasks. It does not write its own data on your mail server. The mail server may however keep a copy of messages or replies sent through Evatel.

  • Sensitive information such as passwords and PINs are accessed only by computer programs and only while in memory during a session. Passwords and PINs cannot be accessed by people.
  • As part of our strong commitment to protecting your information, we have taken the necessary steps to implement the SSL Certificate.

This means that any time you are required to transfer or access personal information using the Web Portal or the Voice Services, you can be confident that the appropriate controls are in place to protect your personal information, privacy, and the integrity of your communications.
