Web Portal

Interface

The Web portal enables you to view, manage and control your account online. Some settings can be managed from the Web portal, the mobile app and/or by phone.

The Web portal includes 7 main sections:

  • Home: This is the first page that displays when you login to the portal after completing the steps of the Getting Started wizard. It is a dashboard for quick access to daily messages and most common functions. See Home page for details.

  • Getting Started: This section helps you configure your account. The wizard is designed to walk you through the steps of setting up your phone numbers, contacts, email connections, etc. When you click Getting Started in the main menu, the wizard will show the Welcome page or the last step where you left off. You can jump between sections as needed. See Initial Setup for details.

  • Call Forwarding: The Call forwarding section is where you set and manage your status profiles (available, out-of-office, in-meeting or not available) with their call filtering and forwarding rules (i.e. where, how and by whom you can be reached). See Call Filtering and Forwarding for details

  • Contacts: This is where you manage your contacts and voice directory. The Virtual Assistant uses contacts in your voice directory to call them, send them emails or text messages and invite them to meetings, as well as recognize them when they call you. See Contacts for details.

  • Call Logs: The call logs page displays the history of calls you make and receive including some details on each call. You can view, sort and filter Call logs on the Web portal and mobile app, in addition to enabling you to call back people using the Web Phone, the mobile app or speech commands by phone.   • Reminders: Reminders can be used for call backs (incoming calls) to save on wireless or long-distance charges, as reminders to do certain tasks such as wake-up calls and even as a way to get you out of an endless meeting. From this section, you can schedule single and recurring reminders and have the assistant call you and play the reminder message then wait for your commands. See Reminders for details.

  • Settings: This is where you view and configure various aspects of your account, including your profile (general information), phone numbers where you can be reached, connection to your email account, text messaging preferences, messages and alerts preferences, etc. Professional accounts can also manage their subscription from here. See Settings for more details.

  • Guides: This section lists user help documents that you can view online or print.

Header and Footer Quick Links

At the top of each page of the Web portal, you can see your Smart Number, a link to quickly change your status and a link to log out. If you are using a company account, the header will also display the Virtual Receptionist phone number. 

If you have administrator roles, the accounts that you manage will be listed under your name at the top right of your Web portal pages. Click on the account name in the dropdown list to access it directly. 

At the bottom of pages, you will find quick links and information to get help or report a problem.

Accessing Contextual Help

Click the Help button  to get context-specific help about the information displayed on the page or section where you are. You can also get help by clicking on the More Help Online link or by dialing the support number shown at the bottom of pages.

Login to the Web Portal

To access the Web portal, you will need your login credentials that were sent to you by email with your account information:

  • You Web portal URL
  • Your User ID or email address associated with your account
  • Your PIN (personal identification number)

To login and start a new session on your Web portal:

  • Start your Web browser.
  • Enter the Web portal URL in the address bar.
  • Enter your User ID or email address in the User ID field.
  • Enter your PIN.
    • If you don't remember your PIN, click the Forgot PIN? link. The system will automatically send you an email containing your account information and credentials.
  • Check the Remember me box to store your User ID for next sessions. 
  • Click the Login button to open a session.

Once logged in, the system will automatically display your Home page (dashboard) or the Getting Started wizard if you have not yet completed your account setup steps.

Logout of the Web portal

To end your Web session:

  • Click the down arrow next to your name at the top right of the Web portal pages.
  • Click Logout in the dropdown list.
