Call Filtering & Call Screening Preferences

Call filtering and call screening help you manage your incoming calls to take only the calls you want, when and where you want them.

Call Screening

The Call Screening feature enables you to know who's calling before taking a call. You can set Call Screening ON or OFF for each phone separately. Here is how:
  • Go to the Settings => Phone Numbers page.
  • Select the phone for which you want to set the Call Screening option, and click the Properties link.
  • Checkthe Tell me Who is Calling option in the Incoming Call Handling section to have the assistant tell you who is on the phone when transferring calls to you. After answering the call, you will then have the choice to:
    • take the call,
    • forward it to a colleague, or
    • send the caller to your voice mail.
For more details on the functions available to you when you answer a call with "Call Screening" enabled, go to How to Answer & Control your Incoming Calls.
  • Uncheck the Tell me Who is Calling option to disable Call Screening. In this mode, the assistant connects you directly with your callers when it transfers them to you.

Call Filtering

With Call Filtering, your assistant uses the caller identity to decide whether to forward the call to you or not when you are busy or not available. You can instruct your assistant to transfer "known callers" such as your contacts and colleagues to you even when you are in-meeting, out-of-office or unavailable. You may also select to take these calls only if they are urgent in which case, your assistant will ask callers if their call is urgent before transferring them to you.

Here is how you define your call filtering preferences once you set your status to "in-meeting", "out-of-office" or "unavailable":

Go to the Settings => Call Filtering under Call Forwarding.
Select how you want your calls to be handled when you are "in-meeting", "out-of-office" or "unavailable":

  • "All calls to voice mail". This means that you don't want to take any calls when you are busy or unavailable.
  • "Only important calls to"then select the phone (mobile, home or business) where you want to get only urgent calls.
  • "All calls to"  then select the phone (mobile, home or business) where you want to get your calls without filtering them.

Check my Calendar Status

If the Check my Calendar option is enabled, the assistant checks your Calendar status to determine how to manage your incoming calls when your status is Available. The Calendar Status (Busy or Free) is synchronized with your phone status once a day and used in the call filtering rules.

Note The Check my Calendar Status option applies only to users with mail accounts on Google or Exchange systems and with a properly configured Mail Access Connection.

You can set your Check my Calendar option from the Status and Call Forwarding page as follows:

  • Set your status to Available.
  • Check the Check my Calendar option to enable it. Uncheck it to disable it.
