Profile

The profile contains general account settings divided in 2 sections:

  • Profile: Contains general information about you such as your name, address, email, language as well as interaction settings with the Virtual Assistant. Fields with a red asterisk (*) are mandatory.
  • Phone Sessions: Defines how you want the Virtual Assistant to interact with you when you call (dialog mode, skill level, etc.).

To access your profile, click Settings > Profile in the main menu.

From the Profile page, you can:

  1. Modify general information (name, address, email, birthdate).
  2. Change your PIN (Personal Identification Number).
  3. Set your preferred language for the Web and speech interface.
  4. Change your time zone.
  5. Access the billing module (if you are the one paying for your account).
  6. Modify the signature used by the Virtual Assistant when sending messages on your behalf.
  7. Configure interaction settings with the Virtual Assistant.

Modify Profile Information

To modify general information about yourself, such as your name, address, email, birthdate, gender, etc.:

  • From the main menu, click Settings > Profile.
  • Modify the fields as required. See Profile Settings and Fields for details.
  • Click Save to apply the changes.

Change Your Email Address

To change the email address associated with your account:

  • Click Settings > Profile in the main menu.
  • Enter your new email address in the Email Address field.
  • Click Save.
  • A popup window will ask you to confirm the change. Click OK to confirm the change.

NOTE:  Be aware that changing your email address will affect several functions of your service. Specifically:

  • All new voice messages and faxes will be sent to your new email address.
  • Your system notifications and alerts will be sent to your new email address.
  • You will need to reconfigure your mail access connection to synchronize your contacts, calendar and/or emails with your new mail server. See Modify Mail Access Settings for details.

Change your PIN

  • From the main menu, click Settings > Profile.
  • Click Change my Phone PIN hyperlink next to your User ID.
  • A popup window will be displayed.
  • Enter your Old PIN for verification.
  • Enter your New PIN and re-type it for confirmation. The code must have a minimum of 4 and a maximum of 12 digits.
  • Click OK to save your new PIN.

Change your Language

  • From the main menu, click Settings > Profile.
  • Click the Language dropdown list and select your new language.
  • Click Save to apply the change.

NOTE: Changing your language, may result in remotely reconfiguring and restarting your IP deskphones. This operation will be performed automatically.

Change Your Time Zone

  • From the main menu, click Settings > Profile.
  • Click the Time Zone dropdown list and select the time zone where you are located.
  • Click Save to apply the change.

NOTE: Changing your time zone, will affect your call forwarding schedules, reminders and special events. Any time-based actions will be performed based on your new time zone.

View Bills or Modify Billing Information

If you have account management rights, you will be able to view and edit your account billing information.

  • From the main menu, click Settings > Profile.
  • Click the Check my Billing hyperlink.
  • You will be redirected to Billing module where you can access your account billing information.

Edit Your Signature

  • From the main menu, click Settings > Profile.
  • Enter the text of your new message signature in the My Signature field. For example "Sent using my Virtual Assistant while driving safely".
  • Click Save to apply the change.

Change Interactions Settings with the Virtual Assistant

To access and modify your Virtual Assistant interactions settings (phone sessions):

  • Click Settings > Profile in the main menu.
  • In the Phone Sessions section, you will see the current settings of your Virtual Assistant interactions.
  • Modify the Phone Sessions fields as needed. See Phone Session Settings for details.
  • Click Save to apply the change.

Profile Fields and Settings

User ID

The User ID is a unique numeric identifier automatically assigned to your account at its creation. To login to your account on the Web Portal, you must provide your User ID or email address together with your numeric PIN (Personal Identification Number). Your numeric User ID is also required to login to your account by phone and start a session with your Virtual Assistant. You cannot change your User ID. 

Personal Identification Number (PIN)

The PIN is a confidential numeric code of 4 to 12 digits that identifies you when combined with your User ID or email address. You must provide your PIN in order to access the Virtual Assistant services on the Web Portal or by phone. You can change your PIN at any time on the Web Portal or by phone.

For security purposes, the Web Portal does not display your PIN. If you do not remember your PIN, you can click the "Forgot?" link in the login page. An email will be sent to you with your account credentials. 

Billing Account

The Billing Account is the alpha-numeric Customer Account Number (CAN) associated with your subscription if you are the one paying for your account. Click the Check my Billing hyperlink next to the Customer Account Number to view bills and modify your billing information (payment method, credit details).

Gender

Select Male or Female in the gender dropdown field.

Salutation

Select an option from the Salutation dropdown field.

First and Last Name

This field must always contain exact information about your name for billing purposes. This information is also useful when corresponding with you or when the Virtual Assistant communicates with your contacts on your behalf.

Language

The web and speech interfaces are available in English and French. You can change your interface language at any time. Any language change applies to the user interface of your Web Portal as well as to the dialog language with your Virtual Assistant.

Email Address

The email address in this field is the address that you provided when subscribing to the service. Your email address is used to send you information about your account (User ID, PIN, access number, and other notifications) as well as send you faxes, voice mail and text messages if you subscribed to Smart Number.

Birthday

On your birthday, you will hear a short happy birthday message when interacting with the Virtual Assistant.

Time Zone

The time zone is used by the Virtual Assistant to adjust for time-based services such as your call forwarding schedules and reminders. Remember to change your time zone when traveling abroad to adapt your Virtual Assistant services to the time zone of your new geographical location.

Signature

You can edit the text used as your signature for messages sent by the Virtual Assistant on your behalf.  

Address

Your address, city, state/province and country must always contain exact information for billing purposes and to contact you when needed. This is the address used by default if you call emergency services (911). 

Virtual Assistant Interaction Settings (Phone Sessions)

Use the Phone Sessions settings to specify how you want the Virtual Assistant to interact with you when you call from a number listed under the Phone Numbers page.

To access your Virtual Assistant interactions settings (phone sessions), click Settings > Profile in the main menu. 

Default Dialog Mode

This setting determines if you will be using the phone keypad only or a mix of voice and touchtone (keypad) commands with the Virtual Assistant.

  • Touchtone Only: In this mode, only touchtone commands (pressing keys on your phone keypad) are accepted by the Virtual Assistant. Speech commands are ignored. This mode can be practical in noisy environments.
  • Speech and Touchtone: In this mode, you can use speech and touchtone commands interchangeably during the same phone session. The Virtual Assistant will be listening and interpreting any audio or tone it gets.

Audio Played While Downloading Mail Messages

Downloading your messages from the mail server may take some time. Use this option to select what you want the Virtual Assistant to play while downloading messages from your mail server. This will replace unusually long silence periods. You can select the type of audio that you want the Virtual Assistant to play:

  • Music Only: Music will be played while your messages are being downloaded. One or several music on hold themes and ring tones can be played. The music stops as soon as the messages are downloaded.
  • Tips: Instructions and tips on how to use the Virtual Assistant services.

Speech Interface Level

The speech user interface can be adapted to your experience level with the system. You may need a directed dialog mode in the beginning, but prefer the faster, more sophisticated commands when you become familiar with the system. Choose the  skill level that best suits your needs:

  • Beginner Mode: Gives you more assistance and guidance during phone sessions with the Virtual Assistant. This mode is recommended for users with little experience with the system.
  • Expert Mode: Allows you to say "natural language"-like speech commands for faster results. This mode is designed for people who are familiar with the system's speech interface. When you switch to Expert Mode, the Virtual Assistant will walk you through an online tutorial program that includes training sessions and tips on how to use the Virtual Assistant services efficiently. To skip the training, set the Skip training dropdown list to Yes.
