Speech Commands to Access your Calendar

 Your virtual assistant enables you to access and manage your appointments and meetings by phone using speech commands. It accesses your Calendar (Date Book) to enable you to check your existing appointments and meetings, and to schedule new ones with your contacts and colleagues. It reads your Calendar information using Text-to-Speech (TTS) technology.

Note The Calendar option is available only to users who have their email account on a mail server that supports remote access to Calendar (i.e. Google and Microsoft Exchange).

Main Menu Commands

You can say or enter one of the following commands from the main menu:

Listen to your Appointments and Meetings

You can access and listen to your appointments and meetings by phone directly from the main menu. Select the day to check and Evatel will tell you how many appointments you have in your calendar that day before starting to play the details of your first appointment or meeting. Here is how:

To listen to today's appointments and meetings

Say: CHECK MY CALENDAR TODAY
or in DTMF mode, enter:  (4) (1)

To listen to tomorrow's appointments and meetings

Say: CHECK MY CALENDAR TOMORROW
or in DTMF mode, enter:  (4) (2)

To listen to appointments and meetings of a specific date

Say: CHECK MY CALENDAR ON {Date}
or in DTMF mode, enter: (4) (5){Date MMDD}

Commands while listening to appointments and meetings

While listening to your appointment information or immediately after, you can say or enter one of the following commands:

If the item is a meeting request:

DECLINE INVITATION 7

If you are the meeting organizer:

Note that if you enter commands such as NEXT, ACCEPT, DECLINE or DELETE while listening to the last appointment or meeting of the day, Evatel will go back to the main menu.

Accept or Decline Meeting Requests

You can accept or decline a meeting request from your phone as follows:

While listening to the meeting request information or immediately after .

To accept a meeting request

Say: ACCEPT INVITATION
or in DTMF mode, enter:  (9){Record Note} (#) (1)

To decline a meeting request

Say: DECLINE INVITATION
or in DTMF mode, enter:  (7){Record Note} (#) (1)

You can record a voice note to accompany your meeting response (to confirm or decline the invitation). To end recording, stop talking or press #. You can use the standard voice mail commands to edit your message. Once you are satisfied, say YES or press 1 in DTMF mode.

Evatel will immediately e-mail your accept/decline response with your voice note if any to the meeting organizer.

Cancel and Delete Meetings Organized by You

As the meeting organizer, you can cancel and delete a meeting by phone as follows:

While listening to the meeting information or immediately after .

Say: DELETE
or in DTMF mode, enter:  (7){Record Note} (#) (1)

You can record a voice note to accompany your meeting deletion notification. To end recording, stop talking or press #. You can use the standard voice mail commands to edit your message. Once you are satisfied, say YES or press 1 in DTMF mode.

Evatel will immediately e-mail your meeting deletion notification with your voice note if any to the meeting participants.

Schedule New Appointments and Meetings

Using any phone, you can schedule a new appointment or meeting  with one or many participants and have it added into your calendar. Participants receive invitations by e-mail as if you did it from your desk. You can also specify the meeting agenda and location in a voice message recorded by you. Here is how:

Say or enter the following command from the main menu:

To schedule a new meeting for today, tomorrow or on a specific date and time

Say: SCHEDULE A NEW APPOINTMENT TODAY
   
or SCHEDULE A NEW APPOINTMENT TOMORROW
   
or SCHEDULE A NEW APPOINTMENT ON{date}
or in DTMF mode, enter:
(4) (6){Attendees}(#){Meeting Duration HHMM} {Date MMDD} {Time HHMM} [appointment details played](1) {Record Meeting Notes} (#) (1)

Notes:

  • {Attendees} allows you to invite contacts and colleagues to the meeting. You can build the list of invited attendees as follows:

    (9) {Select Contact}
    Enter (#) when you finish building your list of attendees.

  • [appointment details played] once you have selected the duration, date and time of the meeting, the assistant will immediately check your calendar and inform you of any schedule conflicts. You will be offered the first available date and time for your appointment.
If you accept the proposed date and time, you will be offered the option to record a voice note (agenda and/or location) to accompany your meeting invitation.

Record your voice note describing the agenda and the location of the meeting. To end recording, stop talking or press #. Use the standard voice mail commands to edit your voice note describing the agenda and the location of the meeting. Once finished, say YES or press 1 in DTMF mode.

Your assistant immediately programs the appointment or meeting in your calendar and sends the meeting invitations (with your voice notes if any) to all participants who have been invited to the meeting.
