Using Company Contacts

The company contacts folder contains shared business contacts available to all company members. Using the Speech Contacts service, each company user can access the company contacts and users in addition to her/his personal contacts. Evatel needs access to your company contacts to perform a number of functions such as calling people, sending them voice messages, forwarding them e-mails, scheduling meetings with them, etc. Evatel can access the company contacts on Web Portal or on the company mail server. In this section, you will learn how to make the company contacts available to company users by phone.

What is Speech Contacts?

Speech Contacts gives users real-time, voice access to their personal contacts, their company contacts and their colleagues so they can call them or send them a voice message from any phone using speech commands. With its speech interface, Speech Contacts provides a rich set of business mobility features:

  • Call contacts by name on their office, mobile or home phone numbers
  • Compose and send voice messages as e-mails to any contact or colleague
  • Call colleagues by name and reach them on different numbers based on their call forwarding settings
  • Benefit from low-cost VoIP calling using least cost call routing
  • Use the Web to manage contacts everywhere around the world

Choose Where to Store and Manage Company Contacts

Evatel can access your company contacts either on Web Portal or on the company's Mail Server.

Click on Contacts  in the Web Portal toolbar to launch the Contact Management page where you can select where you want to store and manage your contacts: on Web Portal (by default) or on your Mail Server.

Using Company Contacts on the Mail Server

This option requires Evatel to access and download your personal contacts from your Exchange 2000/2003 Mail Server using the OWA protocol. If your Mail Access Connection is not already configured, follow the steps described in Using Company Contacts on the Mail Server to define where and how to access your contacts.

Manage Company Contacts through Web Portal

This option enables you to create and manage your company contacts on Web Portal. You can use the available functions to add, edit, import and delete contacts directly on Web Portal. See Using Company Contacts on Web Portal for more details.

Contact Fields Used for Voice Access

Evatel uses the following contact fields:

  • First name and last name
  • E-mail address
  • Telephone numbers (Business, mobile and home) in TAPI format
  • Fax number in TAPI format
  • Language spoken
  • Job title and company name
  • Address
  • Birthday

Formatting the Phone Numbers of your Contacts

Evatel can dial traditional PSTN telephone numbers as well as SIP Phone numbers. The PSTN telephone numbers of your contacts  must be formatted using the TAPI convention.  TAPI-compliant telephone numbers begin with a plus sign (+), followed by the country code, the area code and then the local phone number and the extension if any.

  • If you are working on Web Portal, follow the instructions described in Phone Number Format to enter and format the phone numbers.
  • If you are using Outlook to manage your contacts on your mail server, follow the instructions described in Phone Number Format to format phone numbers of your contacts using Outlook.

Number of Company Contacts Used

As the company administrator, you can set the number of company contacts downloaded and used by phone as follows:

  • Click on Company Profile  in the Web Portal toolbar to open the Company Profile page.
  • Enter the number of public contacts to download in the field provided in the Public Contacts Information section.
  • Click Submit to confirm the new public contacts quota.

Evatel will download the public contacts alphabetically until it reaches the quota. Any contacts ranking after the quota will not be downloaded.
