Speech Commands to Call Contacts and Dial Numbers

Your virtual assistant gives you online access to your colleagues and contacts to call them, send them voice e-mails, or simply get their contact information such as their address, phone numbers or e-mail address using speech commands over the phone.

Before using your contacts, make sure that all the information is correct and that the telephone numbers are in the TAPI format (see Format the Phone Numbers of your Contacts).

Contacts Used in the Voice Directory

Evatel gives you access to different types of contacts over the phone:

Personal Contacts

Evatel accesses your personal contacts for each session. Evatel downloads these contacts either from your Mail Server, or from your Evatel Server if that's where you decided to have your contacts stored.

Colleagues

If you belong to a company that has an Evatel account, you get access to the list of your colleagues (members of the same company). This feature enables you to call or send messages to your colleagues at work without having to add them to your personal contacts. In addition, call to colleagues, go through the colleague's smart call forwarding and call filtering. For better results, make sure that the names of your colleagues are not also in your personal contacts folder.

Company Contacts

Certain companies that use Exchange Server, reserve a public folder for business contacts and make it available to some or all employees. This folder acts like a shared contacts folder containing information about customers, suppliers and partners.  Evatel can make the public contact folder available to all members of the company. This feature enables you to call or send messages to any contact in your company's public folder.

Your Contacts are always up-to-date if they are stored and managed on your Web Portal. But if you choose to use the personal contacts on your Mail Server, then Evatel needs to download and synchronize them from time to time. By default, Evatel downloads and refreshes your contacts as needed after a certain period of time (usually 48 hours). You can also initiate an immediate synchronization of your contacts either from Web Portal or by phone during an Evatel Session. The following links explain how you can synchronize your contacts:

Main Menu Commands

You can use speech commands to call your contacts and colleagues by name, or dial telephone numbers.  At the end of your communication, you may want to go back to your phone session or hangup. To continue your session after the call, you must either (1) wait for the other party to hang-up, or (2) press the Call Termination Keys (usually # # ) to end the call without ending the session. Doing so will enable Evatel to automatically end the call with the other party and go back to the main menu and wait for your next command.

Note that if you hang up, your phone session will be terminated.

The following commands are available at the main menu level offered to you immediately after login.

You can say or enter the following commands from the main menu:

Synchronize your Contacts

If you configured your account to use the personal contacts on your Mail Server, Evatel will synchronize them from time to time to maintain a fresh copy on its server. By default, Evatel keeps your contacts unchanged for a period of time (cache cycle of usually 48 hours) before refreshing them. But if you need an immediate synchronization of your contacts, you can initiate it by phone during a phone session. Here is how:  

From the main menu, you can  synchronize and refresh your contacts data with your Mail Server as follows:

Say: SYNCHRONIZE MY CONTACTSor REFRESH MY CONTACTS
or in DTMF mode, enter (#) (9)
Your contacts will be synchronized with the current version saved on your Mail Server.

Access Contact Information

You can access your contacts and have Evatel read specific information about them such as their address, their e-mail, etc.  Here is how:

To access the information about a contact, you first need to select the contact from the main menu as follows:

Say: LOOKUP CONTACTor LOOKUP{contact name}
or in DTMF mode, enter (9) (#) {contact last name + first name} (#)

In DTMF mode, when the assistant offers to call the contact, press (*) (#)to access the contact information.

Note that in DTMF mode, you don't have to enter the full last name and first name. Enter sufficient letters using the telephone keypad, then press POUND(#). Your assistant will inform you of the number of matches and helps you select your contact. See Entering Contact Names using DTMF keys for more details.

You can now access and listen to specific information about the contact as follows.

Say or enter one of the following commands once the contact is selected:

The assistant will play the requested information about the contact.

Call Contacts by Name

You can use Evatel as a telephone gateway to call people by name. All calls are logged for future reference and cost control.

To call a contact using speech commands, say:

CALL CONTACT
Evatel prompts you to say the contact's name

CALL{contact name} ON{telephone type}
Evatel offers to call the contact on the specified phone and asks you to confirm before dialing

CALL{contact name}
Evatel offers to call the contact on her/his preferred number and asks you to confirm before dialing. By default, the preferred number is the last number where the contact was reached, but if you are calling the contact for the first time and have not yet set her/his preferred number manually, the preferred number is one of the contact's correctly defined phone numbers in the following order of priority:

  • Business phone number
  • Mobile phone number
  • Home phone number

Note that Evatel does not offer to dial phone numbers that are not correctly formatted or for which you don't have the required call permissions.

Where:

  1. {contact name} is the contact's full name said starting with the Contact's First Name followed by the Last Name.
  2. {telephone type} can be one of the telephone numbers where the contact can be reached: MOBILE PHONE, BUSINESS PHONE, HOME PHONE, etc.
After confirming the details of your call contact command, Evatel immediately dials the specified telephone number and connects you.

Call Colleagues by Name

You can use Evatel  to call colleagues by name. All calls are logged for future reference and cost control.
To call a colleague using speech commands, say:

CALL{user name}

Evatel offers to call the user on her/his smart number and asks you to confirm before dialing

Where:  {user name} is the name of the colleague to call.

After confirming the details of your call colleague command, Evatel immediately dials the specified telephone number and connects you.
Important Note: If you wish to continue your phone your session after the call, you must either (a) wait for the other party to hang-up, or (2) press the call termination keys (usually ##) to end the call without ending the session.

Call Contacts using Touchtone Commands

To call a Contact using DTMF commands, enter:
(9) (#){contact DTMF name} (#)
Where:
  {contact DTMF name}is the Contact's Last Name followed by the First Nameusing DTMF keys. See Entering Contact Names using DTMF keys for more details.

Note that in DTMF mode, you don't have to enter the full last name and first name. Enter sufficient letters using the telephone keypad, then press POUND(#). Your assistant will inform you of the number of matches and helps you select your contact. See Entering Contact Names using DTMF keys for more details.

  1. To call the contact on the last dialed number, press (#) to accept when the assistant offers to call the contact on the last dialed number.
  2. To call the contact on a specific telephone number, enter one of the following pairs of DTMF keys to specify the type of phone number as soon as the assistant offers to call the contact on the last dialed number:

After confirming the details of your call contact command, Evatel immediately dials the specified telephone number and connects you.

Dial Telephone Numbers

You can use Evatel as a telephone gateway to dial numbers. You can also use Evatel to dial long distance telephone numbers and benefit from low corporate rates. All calls are logged for future reference and cost control.

You can call contacts or dial telephone numbers directly from the main menu.

To dial a telephone number, say:

DIAL NUMBER
Evatel prompts you to spell the phone number to dial

DIAL{spell telephone number}
or in DTMF mode, enter: (9){enter telephone number} (#)

The assistant dials the specified telephone number and connects you. If the dialed number does not answer or is busy, it offers to redial it. If you decline, you will be returned to the main menu.

Important Note: Once connected, if you have the Call Conferencing option and wish to continue your phone your session after the call, you must either (a) wait for the other party to hang-up, or (2) press the call termination keys (usually ## ) to end the call without ending the session.

Send Voice Mail to Contacts

You can record  and send voice messages to your contacts as e-mails from any phone. Here is how:

To record and send a voice e-mail to a contact, say:

SEND AN EMAIL
Evatel prompts you to say the recipient's name (contact or colleague)

 SEND AN EMAIL TO{contact name}
or in DTMF mode, enter: (2) (3) (9){select contact} (1) (#) {record message} (#) (1)

The assistant will confirm that the new voice message has been successfully e-mailed, then goes back to the main menu.

FAQs

Calling Telephone Numbers with an Extension

If the dialed telephone number includes an extension, Evatel will spell the extension number so you can dial it if the call is answered by an auto-attendant or give it to the company's receptionist otherwise. Check with your service provider if you can have Evatel the contact's extension automatically when the call gets answered.

Handling Busy Lines and Unanswered Calls

If the dialed number does not answer or is busy, Evatel offers the following successive options:

  1. Try again the same number.
  2. Try the next logical number for the contact (in the order: business, mobile, home)
  3. Go back to the main menu for another command

Troubleshooting Contacts Issues

to Recognize My Contacts

Symptom: When I say the name of one of my contacts, Evatel says: "I did not understand".

Possible causes and fixes:

(a)  Your contacts are not on the server specified in your profile.

Correction:Make sure you specify the correct location for your contacts. Click on the Contacts button in your Web Portaltoolbar and verify that the field Keep my Contactsindicates the proper location where your contacts are stored:

  • If your mail account is accessed using the Outlook Web Access protocol, then you can either specify that your contacts are stored on your mail server(Microsoft Exchange) or on the Web Portal;
  • If your mail account is accessed using the POP3 or IMAP protocols, then you should specify that your contacts are stored on the Evatel Server;
Ask your mail service provider or system administrator to provide you with the required information to access your mailbox using off-the-shelf products such as a Web browser (Google and Exchange) or Outlook Express (IMAP and POP3). See Mail Access Connection for more details.

(b)  The contact you are trying to access has not been imported by Evatel because the maximum number of contacts has been reached.

Make sure that the number of contacts you want to import does not exceed the maximum allowed in your profile. Remove any extra contacts or check with your System Administrator if you can increase the number of contacts allowed in your profile. Only your Company Administrator can change this parameter for you.

(c)  The contact type or content is invalid. 

Evatel does not import contacts that consist of distribution lists or that contain invalid information. Please review and correct the contact(s) that may cause a problem.

Does Not Send My New Messages and E-Mail Replies

Symptom: My contacts did not receive the messages that I send or forwarded to them.

Possible causes and fixes:The SMTP port of your assistant's server is probably blocked

Ask your service provider or system administrator to make sure that the SMTP port (25) of your Evatel Server has not been closed by an Anti-Virus program such as McAfee or by a firewall.

Evatel Fail

Symptom: When I ask Evatel to dial the number of some of my contacts, the call fails for no reason.

Possible causes and fixes:

(a)  The telephone numbers of your contacts are not formatted using the Microsoft TAPI convention.

Make sure that the telephone numbers of your contacts are in the TAPI format and that the country and area codes, and the Country field are properly configured for the telephone numbers of each contact.

(b)  The Phone and Modems Options of your Evatel Server are not configured correctly.

Ask your service provider or system administrator to make sure that your Evatel Server's "Phone & Modem Options" are properly configured for your Country, Area Code and Dialing Rules.
